Minimum Qualifications Interested candidates must be reachable on the Secretary 2 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
70.1 Transfer:
Eligible candidates must have one year of permanent competitive service in a qualifying title allocated to a grade 13 or higher. If the candidate is not currently incumbering, or has not previously held a keyboard or secretarial title, the candidate will be required to take and pass a typing proficiency exam to qualify for transfer
Duties Description Answer phones and monitor correspondence
• Answer bureau’s main telephone line. Serve as back-up phone coverage for other Bureau secretaries and Executive staff in the Office of Operations. Monitor Lotus Notes, review incoming correspondence and reports to determine significance, highlight important items, refer for handling and response. Prepare or review outgoing correspondence.
Type and Maintain Files
• Prepare outgoing correspondence and reports. Set up and maintain files for Director and Assistant Director.
Schedule meetings and maintain calendar
• Schedule meetings for Director, Assistant Director, and Bureau.
• Maintain Director, Assistant Director, and bureau wide calendars.
Maintain various logs and databases
• Maintain Bid Protest Log, Public Authority Reform time tracking, Bureau Outreach Calendar, Legal Issues Log.
Monitor assignments
• Monitor assignments received for and delegated by the Director and Assistant Director; transmit directions and deadlines, track successful and timely completion.
Assist with employee evaluations
• Assist bureau supervisors in completion of employee evaluations, maintain bureau’s file copies of evaluations, and forward completed evaluations to Office of Operations liaison.
Process purchase requests
• Prepare, process, and keep a record of purchase requests.
Monitor time off requests
• Maintain records of subordinates’ time off requests for Director and Assistant Director.
