Minimum Qualifications MINIMUM REQUIRED QUALIFICATIONS:
Candidates must have permanent appointment in a Library Clerk 2, SG-09, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list(s) for Library Clerk 2, Full Time, Brockport location.
One year of permanent service in a clerical or secretarial position allocated to Grade 6 or higher.
REQUIRED QUALIFICATIONS:
• Working knowledge of MS Office
• Excellent interpersonal skills and a commitment to customer service
• Ability to work independently
• Ability to work accurately with complex invoices
• Ability to recognize and fix errors in invoices
• Ability to work in a diverse environment
• Ability to lift 25 pounds.
Duties Description • Process invoices for Accounts Payable using Aleph
• Reconcile Aleph with electronic ledger and SUNY/Budgeting reports
• Process monthly vendor reports
• Contact vendors/publishers regarding discrepancies
• Return duplicate/problem books to suppliers
• Oversee cancellations in Aleph
• Manage media ordering
• Assist in inputting book orders into Aleph
• Prepare requisitions for serial subscriptions and enter subscription data on spreadsheet
• Backup for unpacking of books/media, and prepare for receiving
• Provide assistance with copy cataloging
• Backup for receiving serial subscriptions
• Backup for preparing Banner Library Ordering Module Output
• Answer Acquisition Department’s telephones
• Participate in departmental workflow redesign, cross-training and other projects
• Other duties as assigned
