Salary RangeFrom $36246 to $46573 Annually
Minimum Qualifications In order to be considered for appointment, candidates must be reachable from the appropriate Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
If a viable eligible list does not exist, a provisional appointment may be made. If you are appointed provisionally, you will have to take and pass the next Civil Service examination for this title when it is administered. Employees appointed provisionally must be reachable on the resulting eligible list for that title or their employment in the position (may have hold item) will end.
The minimum requirements for taking the examination are: must be a qualified employee of New York State and have had three months permanent competitive or 55-b/55-c service as follows:
Keyboard Specialist 1, Keyboard Specialist 2, Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, Law Department Document Specialist, Data Entry Machine Operator, or Senior Data Entry Machine Operator.
Duties Description Duties include but are not limited to:
Pick up, open review, sort and distribute mail for the assigned Program area(s)
Gather data relevant to complex or unusual inquiries in order to provide a basis for a reply or a decision and/or draft the reply (research problem and gather all necessary information to answer questions raised. Decide which program staff must be consulted to verify information. Trace transactions as far back as necessary to insure that all collected information is accurate. Prepare response to correspondence and submit to manager for review)
Answer incoming calls respond to inquiries and questions concerning policy or procedures and refer calls to appropriate staff internal and external
Respond to questions concerning program, policy and procedure. Refer most complex technical questions to appropriate staff (Secretary must have significant knowledge of program area to respond instantly to a variety of procedural and policy questions.)
Prepare responses to letters concerning program, policies and procedures for supervisor’s signature
Design, set up and maintain files (including electronic) of correspondence/documents, code and file material, search for requested material and periodically purge obsolete material for storage in records center or for disposal
Schedule meetings, appointments, conference calls, conferences
Attend public information meetings/hearings as a greeter
Hand deliver meeting and project information
Have working knowledge of Microsoft Office (Word, Excel, Power Point)
Process purchase orders and vouchers according to Program area standards provide coverage to other program areas with processing vouchers and purchase orders, proficiency with AS 400 and SFS and ExpenseAnywhere
Possess proficient working knowledge of TADs provide assistance to staff with TAD’s as needed
Must be available to assist other Program Areas with clerical support, office coverage, staff meetings, and take notes at staff meeting as needed.
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
