Minimum Qualifications This position is open to NYS employees with one year of permanent, competitive service as an Agency Program Aide, SG-13, or to those deemed eligible for transfer under Section 52.6 of the Civil Service Law. Candidates reachable on the eligible list will be considered through canvas and need not apply.

Duties Description The incumbent of this position is responsible for providing administrative support to the Election Services Unit. The duties of this position include, but are not limited to:

• Carry out the day to day administrative support activities required to accomplish the work of the Election Operations Unit at the direction of the Director or Deputy Director of the Unit Receives and distributes incoming mail for the unit.
• Respond to questions concerning general information, researches problems with staff or refers questions to appropriate staff.
• Coordinate information flow between the unit, executive management, agency staff, County Boards of Elections and the public.
• Organize, distribute and follow up on specific projects assigned by the Election Operations Management.
• Arrange meetings and workshops, coordinate travel plans, assemble and prepare materials prior to meetings
• Maintain filing system for programs with multiple areas of focus, follow record retention schedules, purging files and transferring necessary documents to State Archives.
• Maintain a schedule for the Election Operations Unit as necessary.
• Daily, transcribe 1-800 voter registration hotline, and mail forms to requestors
• Assist in preparing and/or formatting memos, letters and written and statistical reports of information gathered from program staff.
• Maintain confidential reports upon completion of a review of County Boards of Election concerning their operations, policies, rules and procedures.
• Collect funds deposited with the Agency, manage and balance cash box, produce receipts as needed and reconcile ledger for submission to Admin Unit.
• Manage vendor escrow funds and federal funding streams for HAVA and voting system certification accounts payable.
• Receives phone calls and correspondence of complaints from the general public, elected officials and county board staff, to be forwarded to the appropriate internal staff.
• Performs all ballot access tasks, including data entry, production of required correspondence, and validation of documents filed, under supervision of Unit’s election services supervisor.
• Assists in maintenance of procedures and forms manuals, to ensure they are up to date and readily available.
• Responsible for expedited mail – label production and tracking, when required.
