Minimum Qualifications Current New York State employee with one year of permanent or contingent-permanent status as an Administrative Assistant, OR NYS employee with one year or more of permanent or contingent-permanent service in a title eligible for transfer under Section 70.1 of the Civil Service Law. The position may also be filled at the trainee level by appointment of a candidate reachable on the PATT or PCO list or in a title eligible to transfer to Administrative Assistant Trainee 1 or 2. If filled as a trainee, the selected candidate must successfully complete a two-year traineeship.
Duties Description This position will be assigned to the Division of Administration. The incumbent of this position will report directly to the Deputy MIG for Administration. The incumbent will provide professional administrative and staff support to the Deputy MIG, administration managers and provide backup phone and support services coverage for OMIG Executive staff. The duties of this position will include, but not be limited to the following:
• Handle all incoming calls and respond to general questions from OMIG staff and other government agencies;
• Track correspondence, maintain mail logs, order supplies, take minutes at monthly Division meetings, schedule appointments and maintain the Deputy MIG’s calendar, sort and distribute pay checks and responsible for various duties within Administration.
• Act as Human Resources Liaison, Travel Coordinator, Backup person for FOIL requests and Agency Coordinator for the NYS Employee Suggestion Program.
• Assist the Collections Unit with scanning checks into FACTS and forwarding to the appropriate collector, transmitting collections and correspondence to providers;
• Support Human Resources by establishing Personal History Folders, monitoring shared mailboxes, and forwarding inquiries to appropriate staff, and maintaining the Human Resource’s filing system.
