Minimum Qualifications Minimum Qualifications:
1.Transfer eligibility requirement: You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title.
2.Reassignment requirement: You must hold the same title at the University at Buffalo.
3.Reinstatement requirement: You must be a former state employee to request reinstatement to the title that was held (or transferable title).

Preferred Qualifications:
Experience in Microsoft Office including Microsoft Word, Excel and Outlook. Experience with Maximo (Facilities business system) desirable as well as knowledge of SUNY procurement guidelines.
Duties Description As an Office Assistant 1 in Facilities Finance & Administration you will be acting as the purchasing liaison between requestors, vendors, stockrooms and Central Procurement. Responsibilities will include:
•Coordinating purchasing activities and assisting Central Procurement with obtaining proper documentation to remain in compliance with all procurement policies and procedures.
•Generating State & UBF Purchase Requisitions / Purchase Orders in an accurate and timely manner.
•Analyzing all paperwork (i.e. MSRW’s) for correct information (work order numbers, account numbers, signatures, etc.) on a daily basis.
•Recognizing, communicating and following-up with requestors and/or vendors on any discrepancies / issues in a timely manner either by e-mail, written correspondence or personal contact.
•Generating requisitions for new blanket orders in a timely manner.
•Reviewing outstanding orders for proper completion / closure.
•Reconciling purchase order activity between Facilities business system (Maximo) with the Albany Payment system on a frequent basis and investigate problem as needed.
•Performing back-up duties to the other department Purchasing staff as needed.
