Minimum Qualifications Qualifications
High School diploma or G.E.D. and three years of specialized administrative support experience, preferably with experience working in a confidential capacity. An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job may be considered, at the discretion of the Corporation.
Knowledge/skill/experience in the following areas is desired:
• Ability to maintain confidentiality and discretion as a rule. Candidate must possess good judgment
• Experienced in managing office activities
• Records management practices and procedures
• Maintaining files and confidential information
• Exceptional customer service and interpersonal skills
• Ability to multitask and to receive work direction
• Basic math skills
• Excellent proofreading and written skills
• Ability to work effectively and independently, in high pressure situations, and with strict deadlines
• Highly proficient in Microsoft Office products (particularly Word, Excel) and the ability to work with a database.
Duties Description Position Description
The Program Assistant is responsible for performing a wide variety of administrative support activities for the Executive Division. The Program Assistant’s primary duties will involve providing direct support to the Program Manager and Program Coordinators.
Essential Duties
• Perform various administrative duties, utilizing standard office equipment, to include: screening incoming calls, taking and transmitting messages, making copies, scanning, preparing and proofreading documents, and assisting with scheduling needs.
• Assist with data entry related to programmatic activities such as tracking requests from external entities, updating project-specific information in databases, and monitoring communication via email.
• Assist with drafting program materials such as informational guides, presentation materials, etc.
• Oversee the continued development and maintenance of the Executive Division Program Management procedural manual to ensure all tasks are accounted for and clearly outlined.
• Manage community outreach and events calendar to help facilitate EFC attendance at various conferences, exhibits, etc.
• Special projects as assigned.
Working Conditions and Physical Abilities
Work is primarily of an administrative nature and is performed in an office setting with the requirement for fine manipulation skills for computer use.
