Minimum Qualifications MINIMUM QUALIFICATIONS:
No minimum qualifications per Civil Service.

Duties Description Under the supervision of the Facility Manager, the selected candidate will:
• Answering the telephone, directing calls appropriately, or generally assisting callers.
• Managing the sites general calendar of meetings, group tours and outreach.
• Learning agency-wide financial accounting systems (SFS, Expenditure Tracking).
• Processing credit card reconciliations for multiple staff, including timely entry of purchasing data into SFS and Expenditure Tracking programs.
• Maintaining digital and paper copy files and assisting site manager with general filing duties.
• Assisting with payroll duties, auditing seasonal timesheets for accuracy, ensuring timesheets are signed by the supervisor and submitted to the business office in a timely manner.
• Entering the historic site revenue and attendance data in the Attendance & PORTS programs on daily basis. Generate necessary reports for site administrators. Maintain electronic and paper copies of all revenue and attendance forms.
• Perform regular safe and cashier counts for monthly audits, documenting and reporting any discrepancies to historic site manager. Ensure audits are reviewed and signed by Site Manager before submission to business office.
• Make regular bank deposits each week, ensuring that cash drawers have sufficient change.
• Maintain spreadsheets for tracking Natural Heritage Trust donations and expenditures. Making NHT bank deposits in a timely fashion.
• Assist the site manager and interpretive programs assistant with design and printing of interpretive material, special event brochures, handouts, flyers, and posters.
• Assists the site manager in preparing job postings and interview material. Reviews and submits hiring packets to the business office.
• The candidate will occasionally be asked to assist in the Visitor Center front desk, greeting visitors and assisting them appropriately. This may include operating the cash register, credit card machine, and having knowledge about merchandise and exhibits.
• The candidate will also become familiar with interpretive material to enable them to assist with interpretive tours (particularly school and group tours), special events and holiday programs.
• Generally, assist site staff with all setups and take down preparations for special events.
• Performing other related duties as assigned.

OPERATIONAL NEEDS:
• Must possess and maintain a valid driver’s license that allows the candidate to legally operate a motor vehicle in New York State as a term and condition of employment.
• Must possess strong organizational skills and the ability to work independently, as well as with others.
• Experience with Microsoft Office including Excel, Word, Outlook, PowerPoint, and Adobe professional programs.
• Must be able to communicate effectively with other staff and park patrons in a responsible and courteous manner
