Provisional Qualifications: NYS employee with one year of permanent competitive or 55 b/c service as Administrative Assistant 1, SG-11. If appointed provisionally, you must take the next examination for this title and be reachable on the resulting eligible list to remain in the position.

Non-competitive Promotion (NCP) Qualifications: A permanent appointment may be possible pursuant to Section 52.7 of the Civil Service Law if there are three or fewer interested candidates who meet the following qualifications: Current DOH employee and one year of permanent competitive or 55 b/c service in the title Administrative Assistant 1, SG-11.

Preferred Qualifications: The preferred candidate will possess and demonstrate the following: have impeccable organizational skills, be proficient in Outlook suite, Microsoft suite and Adobe, will have a supervisory background, have excellent time management and communication skills, and have the ability to multi-task.

Duties Description The incumbent will perform a variety of administrative tasks for the Bureau. These duties include: Tracking incoming and outgoing assignments, i.e., ECU/EDCC/ - Contracts – Correspondences (emails that are asking for an attorney to review). Assist in keeping the assignments moving through the Bureau. Handling and forwarding status requests to the appropriate attorney. Tracking any information that the attorney sends to the initiator of assignments. Processing of Memorandums of Need (MOU) for the Department of Health from beginning to end. Logging them when they arrive and filing them. Being able to retrieve the MOUs for anyone who inquires about them. Making sure they are filed in the appropriate places providing a paper and electronic copy whenever needed. Purchasing for the Bureau. Vendor verification, approvals and emails collected. Maintaining an accurate account of the purchase to compile a package to DOH.SM.DOHPCARDMAST. Accessing calendars and the availability of all of the attorneys in the Bureau. Providing availability of the attorneys to outside Bureaus, Chambers, DOB. Scheduling of meetings for the attorneys based on need and urgency. Answering incoming calls, checking mailboxes for emails. Directing them to the appropriate person to handle. Providing supervision to lower-salary grade employees that work in the Bureau of Program Counsel, Insurance. Tasks include: timesheet approval, approving time off requests, assigning tasks, following up and tracking tasks, assisting with and overseeing the course of a Traineeship for employee(s), and training employees. When recruiting for positions: being a panel member on the interview panel, checking references, creating HR documents for recruitment.
