Minimum Qualifications NY HELPS:
Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.

A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*

Preferred Qualifications: Excellent organizational, written, and verbal communication skills. Proficient in Microsoft Office (Outlook, Word, PowerPoint , Excel and Teams), Cisco Webex, and SharePoint. Ability to work independently and as part of a team, prioritize workloads, multi-task, flexible and complete assignments within short timeframes.

Duties Description The Administrative Assistant 1 (AA1) will provide support to the Bureau of Perinatal, Reproductive, and Sexual Health. Responsibilities will include scheduling virtual and in-person meetings, maintaining staff calendars, answering and routing phone calls, maintaining electronic tracking systems and program files, scheduling interviews, and compiling, prioritizing and distributing mail. The AA 1 will serve as back-up for Administrative Assistants in each of the Bureaus in the Division of Family Health.

Additional Comments Full-time, contingent permanent appointment. Transfer Candidates may be asked for their social security number to verify eligibility.
