The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.

Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.

OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.

Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must meet one of the following minimum qualifications: Be a current NYS Department of Health employee with one year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. Preferred Qualifications: The Division is seeking an individual with excellent organization and customer service skills and the ability to prioritize and meet multiple deadlines. Someone with a strong ability to work independently and share innovative ideas in a collaborative team structure. Knowledge of Microsoft Suite products. Someone dedicated to ensuring the health and safety of our aging New Yorkers and promoting aging in place with dignity and independence.

Duties Description The Administrative Assistant 1 will provide office support and perform clerical duties including, but not limited to: accepting calls, retrieving messages and routing calls/messages appropriately; maintaining the Division’s supply inventory; coordinating schedules and scheduling meetings; typing, proofreading and generating reports, letters, documents, and other communication on behalf of he Division; filing and recordkeeping consistent with the Department’s established protocols; accepting, tracking, and routing all incoming and outgoing postal mail consistent with established Division policies and procedures; data entry; coordinating travel and serving as a Travel Proxy for Division leadership; and other duties as assigned. The Administrative Assistant 1 will serve as the primary administrative support for the Division’s Regional Office teams and in that capacity, will perform office support and clerical work including, but not limited to: General office support activities; maintaining supply inventory; coordinating schedules and scheduling meetings via appropriate Microsoft Office platform; typing, proofreading, and generating reports, letters, and/or other communication on behalf of the Division; performing routine processing activities including reviewing documents for completeness and accuracy and/or other duties as assigned; record keeping and filing consistent with the Department’s established record retention protocols; accepting, documenting receipt, and routing appropriately all postal mail received for the program, and properly documenting all outgoing mail consistent with established Division policies and procedures; performing data entry into the applicable survey software, including opening survey shells and finalizing inspection reports; assisting with various administrative duties, including serving as the Statewide Financial System designee for approval of staff travel vouchers; and other duties as assigned.

Additional Comments This position includes a 2-year traineeship. The first year is equivalent to a grade 8, the second year is a grade 9. After successful completion of the traineeship, the employee would be a grade 11.

This position is part of the NYS HELPS program. No examination is required.
