Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NYHELPS). As part of the NY HELPS program, candidates must meet the following minimum qualifications:
• Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Appointments will be dependent upon qualification of candidates selected.

Candidates must have one year of permanent, competitive service at a G-6 or higher and be eligible to transfer via Section 70.1 of the Civil Service Law. Please note: A keyboarding performance test may be required before appointment.

Appointment may be made at a traineeship level. A new two-year traineeship (Administrative Assistant Trainee 1 & 2, NS=Grade 8 & 10) leading to Administrative Assistant 1, Grade 11, has been approved effective November 8, 2023. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Proficient in Word, Excel and Outlook. Must have strong organizational, proofreading, verbal and interpersonal skills, the ability to multitask, demonstrate attention to detail, and the ability to maintain professionalism in a fluid, busy environment.

Duties Description The Administrative Assistant will support the Division of System Utilization and Review.
• Answer the DSUR phone line and provide messages to staff as necessary.
• Purchases and organizes office supplies.
• Liaising with Human Resources and Operations Management. Reporting any building issues to Operations and relaying pertinent information to DSUR staff.
• Acts as main point of contact for DSUR staff editing FACTS uploads/deletions as necessary.
• Schedules interviews for vacant DSUR positions as requested.
• Open, sort and direct all incoming DSUR mail. Ensuring all mail gets properly directed.
• Maintains copier/printers and ensures they are in working order and supplies are maintained.
• Ensures all DSUR distribution lists are maintained, including the DSUR phone tree.
• Assist DSUR bureau directors as requested.
