Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*

Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.

Duties Description The incumbent of this position will perform duties consistent with the standard for this title in the Transportation
Maintenance Residency Office. As such, the selected candidate will process transactions; maintain records, documents, and information; and produce correspondence, reports, charts, etc. Incumbents must be able to read, understand and apply procedures, rules and regulations and laws.

The duties include but are not limited to:

• Sorting and distributing mail.

• Maintaining records and files.

• Answering telephones and appropriately responding to or referring inquiries made by employees, vendors, and customers.

• Providing assistance to the Transportation Office Assistant 2 in the administration of the Residency program which may include Personnel, Purchasing, and Training activities, such as:

o Hiring and promoting employees, and employee orientations,
o Assisting with ordering supplies, purchase orders, and vouchers, tracking and entering TRINFO data,
o Record keeping for the Adopt-A-Highway program,
o Entering Travel Vouchers for employees within the County
o Reviewing employee's time in MMS ensuring flex time, overtime, recalls, meal allowance and leave times are all correct; then sending approved MMS records to the Time and Attendance system.

• Preferred candidates will possess excellent written and oral communication skills as well as proficiency in computer programs such as Microsoft Word, Excel, PowerPoint and Outlook.

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

Additional Comments *This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
