Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
** Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience
Candidates may be required to pass a keyboarding test that demonstrates your ability to enter text using an alpha numeric computer keyboard, at a rate of at least 30 words per minute with at least 96% accuracy, if this has not been satisfied in a prior New York State position.

Duties Description The Administrative Assistant 2 to the Division of Addiction Treatment and Recovery (ATAR) serves as the administrative assistant for the division. Reporting to the Associate Commissioner or the Deputy director, the incumbent will:
• Supervise the Administrative Assistant 1 who provides support to Division's Bureau of Adolescents, Women and Children.
• Provide support for Associate Commissioner and division leadership including travel reporting, work from home tracking and other administrative functions.
• Coordinating numerous calendars to schedule meetings with OASAS staff, sister state agencies, Federal and local government representatives, substance use disorder (SUD) providers and myriad community stakeholders.
• Responsible for equipment inventory control (EIGR); answering division phones, handling correspondence, filing, copying, faxing, supporting staff submission of ITS tickets and Tracking and Processing mail, supplies and purchase requests.
• Provides administrative support and coordinating logistics for Bureau trainings such as LOCADTR, Trauma Informed Care and other trainings provided by the Divisions.
• Assists staff w/questions on office directives, changes & protocols as they occur.
• Assist w/interview set-up and new staff set up, human resources documentation.
• Other relevant duties as assigned.

Additional Comments This position requires the appointee to clear a satisfactory background check including a New York State Police investigation and Executive Chamber review.
