Minimum Qualifications Non-Competitive Qualifications for appointment under the NYHELPS Program:
For appointment to an Office Assistant 2, you must have:

1. One year of clerical experience.

Competitive Qualifications:
You must be currently reachable on the appropriate eligible list for this title or eligible to transfer to this title under Section 70.1 of the Civil Service Law.

Transfer:
For 70.1 transfer to an Office Assistant 2, salary grade (SG)-09, you must have one year of permanent competitive, or 55-b/55-c service in an approved title for transfer allocated to an SG-07 or above.

Appointments via transfer must not result in a second, consecutive transfer with an advancement of more than two S-grades or one M-grade.

Duties Description • Process mail using various mail metering machines (e.g., OCR barcode sorter, inserter, envelope printing machine, and folder/pressure sealer equipment.).
• Assign correct postage account for the work being processed.
• Perform quality assurance checks on outgoing mail.
• Package mail trays as instructed by tray-catching report.
• Print and attach proper tray labels.
• Review and attach proper postal reports.
• Diagnose and resolve any minor issues with the mail center equipment.
• Perform regular cleaning and maintenance of mail center equipment.
• Inform supervisor(s) when equipment servicing is needed and/or arrange with vendor for emergency services.
• Complete administrative tasks (e.g., filling out reconciliation reports, ordering supplies etc.).
• Maintain acceptable productivity levels; ensuring that all applicable United States Postal Service (USPS) requirements are followed, and delivery deadlines are met.
• Operate high volume print and post print processing equipment producing output from various jobs throughout the day.
• Align and configure printers.
• Review print and post print processing instructions for correct and complete documentation of print jobs.
• Record, label, batch, and distribute printed output.
• Remove completed jobs from system and conducts quality control checks.
• Transport completed jobs to mail center.
• Assist mail center staff with sorting and distribution.
• Adhere to security procedures and requirements regarding the storage, transportation, utilization, disposition, and accountability of secure stock.
• Maintain proper levels of supplies to ensure smooth data center operations.
• Perform regular cleaning and maintenance of print and post print equipment.
• Diagnose and resolve error recovery and reports printer and post print processing equipment maintenance issues for major repairs and service.
• Load print output (upwards of 50 lbs.) and use pallet jack to move inventory throughout the facility.

Additional Comments Knowledge, Skills, and Abilities:
• Ability to lift 50 lbs.
• Ability to stand for a minimum of two hours.
• Ability to prepare and maintain standard records and reports.
• Ability to understand and carry out oral and written instructions.
• Working knowledge of rules, regulations, and rates of the United States Postal Service.
• Working knowledge of the operation, adjustment, and care of post processing equipment.
