Minimum Qualifications A minimum of four years of experience in a program support role: Must possess a valid New York State Driver’s license and be able to drive a medium-sized van; Must be able to lift boxes of copy paper and move pallets of boxes using a pallet fork; Must be able to move furniture with assistance from other staff;Experience with the Statewide Financial System preferred; Proficient with Microsoft Office products including ability to maintain electronic calendars; Be able to work independently; Demonstrated ability to successfully collaborate with others; a genuine team player; Excellent communication and customer service skills.
Duties Description Under the general supervision of the Administrative Officer, the Employee Program Assistant functions as the manager of the Mail, Supply and Procurement Unit in the Governor’s Office of Employee Relations (GOER) and the New York State Labor-Management Committees (LMCs). The incumbent will work collaboratively with the Department of Civil Service Mail & Supply staff as needed. For both GOER and the LMCs, perform all purchasing, mail distribution, supplies and equipment inventory and oversee the agency State vehicle procurement and maintenance. Duties include but are not limited to:
Directly purchase office supplies, equipment and furniture. Process invoices or use procurement card as appropriate; Maintain computerized inventory systems. Keep shelf and storage inventories of supplies current ;Fill requests for supplies. Deliver and install equipment; Manage the agency storage areas. Arrange for surplus furniture and equipment to be delivered to the Surplus Unit in the Office of General Services (OGS); Coordinate all agency moves, arranging for and participating in the movement of furniture; Serve as the back-up to the agency’s telecommunications liaison with the Office for Technology; Maintain the agency’s records management storage facilities. Store and retrieve records. Assist with the final disposition of records; destruction or movement to the State Records Center and Archives; Perform all agency mail duties, including the pickup and delivery of intra and interagency mail, preparation of First Class Mail, shipment of packages and special deliveries. Function as agency liaison with delivery services, such as United Parcel Service (UPS); Act as the agency’s Fleet Coordinator to include ensuring the vehicle is serviced, as needed, and verify maintenance and mileage vehicle logs are updated. Coordinate procurement of replacement vehicles with OGS; Enter B-1184 requests into the Division of the Budget’s database. Forward approved requests to program staff; Print daily and end-of-month reports from the Statewide Financial System (SFS).
