Duties Description As a member of the Directors Group of NYMTC, the selected candidate will provide administrative services and support to the Executive Director and Managers. This position may have a supervisory role. Strong skills in the Microsoft Office suite of programs are required, as are strong interpersonal skills. Duties will involve working with confidential information and include but are not limited to:

• Serve as liaison to NYMTC's Program, Finance & Administration Committee, (PFAC), including scheduling meetings, preparing and distributing agendas and meeting materials, communicating with member agencies, and maintaining designated member contact lists;
• Maintain and update the NYMTC Compendium of Operating Procedures;
• Plan and organize the annual NYMTC Council Meeting, as well as occasional special Council Meetings, including researching venues and coordinating as needed with NYMTC IT staff;
• Provide interview support and recruitment assistance;
• Assist the Directors Group with scheduling of meetings with NYMTC staff, member agencies and other external stakeholders;
• Assist the Directors Group with travel, as needed;
• Coordinate and oversee management of the office, including facilities management. Work with office building management and Office of General Services (OGS) to ensure safe and well-maintained facilities. Serve as the primary point of contact to resolve any issues. Coordinate billing for facilities;
• Perform other administrative tasks as required by NYMTC management.


Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*
To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open-competitive minimum qualifications for this position. The qualifications are:

Administrative Specialist Trainee 1: A bachelor’s degree or higher.

Administrative Specialist Trainee 2: A bachelor’s degree AND
Either 1. One year of professional experience *; OR
2. a Juris Doctor, master's or higher degree in a field related to the position being filled **

Administrative Specialist 1: A bachelor’s degree AND
Either 1. Two years of professional experience*; OR
2. a Juris Doctor, master's or higher degree in a field related to the position being filled** AND one year of professional experience*.

*Professional experience must be performing the duties of the full performance level position.

**Hiring agencies have discretion in determining whether a degree is related to the duties of the position.

If chosen, you may, at the agency's discretion, be appointed to a higher level. You must inform the agency of any additional qualifications at your interview.

Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.

Additional Comments Salary to include an additional $4,000 location pay.

*For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
