Duties Description Some duties include, but are not limited to:
• Perform data entry, document preparation, and form completion.
• Type, proofread, and correct correspondence, records, and other written materials.
• Answer telephones, take messages, and respond to electronic communications.
• Schedule appointments and meetings using office software tools.
• Establish and maintain organized filing systems (electronic and physical).
• Receive, sort, record, and distribute incoming and outgoing mail and documents.
• Operate and maintain office equipment (copiers, scanners, printers, etc.), including basic troubleshooting and cleaning.
• Enter and edit employee attendance, leave, overtime, and benefits data in Kronos Timekeeper.
• Assist with bi-weekly pay period edits and audits.
• Utilize Time and Attendance Inquiry Module (TAM) to verify employee attendance records.
• Review and verify entries in the Thruway Maintenance Management System (TMMS), including daily work plans and equipment usage.
• Generate reports from Kronos, TMMS, and Labor Allocation Module (LAM).
• Enter salt order receipts and transmittals in TMMS and Thruway Financial Package (TFP).
• Enter purchase card receipts in the Procurement Cards Management System (PCMS); verify coding and prepare reconciliation reports.
• Manage sub-inventory of safety, janitorial, and miscellaneous supplies; maintain records, conduct spot-checks, and record transactions in TFP.
• Checks and place fuel orders; file related transmittals.
• Electronically log employees training records in the Training Tracking System.
• May operate a motor vehicle to deliver or pick up mail and supplies.
• Perform special projects and related tasks assigned to support office and maintenance operations.
Minimum Qualifications Must possess a valid license to operate a motor vehicle in New York State at the time of appointment and must continuously maintain it thereafter or face possible disciplinary action up to and including termination.
TRANSFER QUALIFICATIONS FOR CURRENT STATE EMPLOYEES:
Current New York State employee with one year or more of qualifying permanent service allocated to a Grade 6 or above and eligible for transfer under Section 70.1 of the NYS Civil Service Law.

NY HELPS MINIMUM QUALIFICATIONS:
There are no minimum education or experience requirements for this title.
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.

ADDITIONAL PAY INFORMATION:
The salary range for this position includes all applicable annual components of pay which are:
Base Pay Range from Hiring Rate $17.16 up to Job Rate $24.80.
Location Pay: $1.70 for Downstate.
Recruitment & Retention Pay: $3.37.
