Duties Description The State University of New York System Administration, located in Albany, New York, is seeking a Purchase Associate to oversee the purchasing function for System Administration and University-wide programs to ensure that purchasing is conducted in accordance with appropriate laws, rules and regulations, and policies and procedures.
Duties and Responsibilities:
- Work on a daily basis within both the SUNY Financial Management System and the e-Procurement system, identifying issues and recommending solutions.
- Use appropriate computer software programs including spreadsheets and Oracle BI to assist in this analysis.
- Accomplish the goals of the University by purchasing according to established guidelines, using preferred and minority sources and existing State contracts whenever possible.
- Responsible for overseeing the processing of purchase orders for System Administration and University-wide Programs.
- Review department purchase requisitions for completeness of required information, legality, available funding, and proper coding.
- Review specifications and requirements with departments, sealed bids, price quotations, arranging in-house evaluations of bids, and recommending contract awards.
- Interact with Comptroller's Office (OSC), Office of General Services (OGS), System Administration Finance, and Business Office and the SUNY Purchasing Association on University-wide programs involving purchasing.
- Interact with vendors, Accounts Payable, Accounts Receiving, and end-user departments when necessary to resolve problems.
- Serve as Co-lead in the Jaggaer e-Procurement system.
- Maintain the e-procurement training manual and oversee training of end users in departments at System Administration.
Minimum Qualifications Required Qualifications:
- Bachelor's degree or equivalent work experience
- Experience utilizing computer software programs such as Excel and Word to analyze financial data and prepare financial reports is required.
- Ability to work on multiple tasks simultaneously.
- Have a strong ability to work with others in securing their procurement needs.
- Ability to read and interpret how to use guides and basic contract language.
- Ability to work out solutions with co-workers on issues affecting multiple departments.
- Minimal supervision required in the execution of daily activities.
Preferred Qualifications:
- Prior experience in the procurement area
- Experience with SUNY, higher education, or NYS Agency
Additional Comments Additional Information:
- Must be currently authorized to work in the United States on a full-time basis. VISA sponsorship is NOT available for this position.
- Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $65,000-$75,000 annually.
- State Title: Purchase Associate(SL-4) and is part of the United University Professions Union.
