Duties Description Under the supervision of higher-level personnel, the Administrative Assistant 2 will serve as the administrative lead for the Genesee Regional Management Team.
Duties include, but are not limited to:
• Provide administrative and clerical support to regional leadership.
• Answer phones; provide information to callers, take messages, and route calls to appropriate staff.
• Greet and assist visitors or callers, respond to inquires, and direct individuals to appropriate staff.
• Open, read, route, and distribute incoming mail and other materials; respond to routine correspondence and inquiries.
• Track, monitor, and coordinate assignments, projects, and requests to ensure timely completion.
• Set up and manager paper and electronic filing systems; maintain records, logs, and reference materials.
• Create, maintain, and update spreadsheets and databases to track program, fiscal, and administrative information.
• Maintain scheduling and event calendars; schedule and confirm meetings and appointments for staff and management.
• Schedule interviews and coordinate onboarding and offboarding tasks.
• Coordinate meetings, conferences, and special events, including logistics, meeting materials and room arrangements.
• Make travel arrangement for staff and prepare or process travel authorizations and expense reports in accordance with agency procedures.
• Prepare, proofread, and edit correspondence, reports, meeting minutes, and other documents to ensure accuracy formatting and style standards.
• Research and compile information for reports, presentations, and responses to inquiries.
• Order and maintain office supplies and inventory.
• Perform other administrative duties as assigned to support the effective operation of the office.
• Attend various meetings; take meeting notes and minutes.

Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support*, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office. *Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree** in office administration, secretarial science, administrative assistance, paralegal business technology, or office technology substitutes for two years of experience.
