Duties Description PROGRAM OVERVIEW:
The Office of Professional Services (OPS) is responsible for all administrative and support services, including Human Resources, Communications and Public Information, Fair Housing, Policy Development, Competitive Procurement and Contract Management, Fiscal Planning, Accounting and Treasury Services, Facilities and Building Management Services, Internal Audit, Project Management, and Information Technology Services. OPS values professionals that enjoy working in a fast-paced environment and who have the skills required to effectively plan, direct, and coordinate HCR’s wide array of support services.

DUTIES:
• Respond to phone inquiries with sufficient general knowledge of the Agency’s business, programs, and services in an efficient, professional manner, providing assistance to both the public and internal customers.

• Demonstrate sufficient knowledge of Agency procedures regarding public and press inquiries, security issues, and departmental contacts and protocols.

• Maintain the Agency Conference Room Calendar using Microsoft Outlook, schedule meeting requests with knowledge of priority and placement, and direct visitors appropriately.

• Log incoming mail in a timely manner, ensuring proper distribution and prioritization.

• Log Agency visitors into the Rudin Security System.

• Demonstrate dependability and the ability to work a 10:00 a.m. to 6:00 p.m. schedule.

• Serve as the first point of contact for visitors and callers. As the “face” of the agency, the main reception desk should reflect professionalism and the familiarity with agency operations necessary to create a positive first impression.

• Perform administrative duties for the department as needed.


Minimum Qualifications QUALIFICATIONS: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.


NON-COMPETITIVE MINIMUM QUALIFICATIONS:
One year of clerical experience.

COMPETITIVE MINIMUM QUALIFICATIONS:
Must be reachable on the New York State Civil Service eligible list.

70.1 TRANSFER QUALIFICATIONS:
One year of permanent or contingent permanent service in an eligible title for transfer determined to be similar by Civil Service. For transfers, a list of approved titles is available through Civil Service GOT-IT at https://careermobilityoffice.cs.ny.gov/cmo/gotit/. The GOT-IT site will inform you if your title is transferrable.
