Minimum Qualifications MINIMUM QUALIFICATIONS:

Non-Competitive Appointment: Candidates must have high school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

**Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.

Duties Description The New York State Education Department (NYSED) is seeking candidates for an Administrative Assistant 2 position in the Office of Human Resources Management (OHRM). Reporting to the Director of Human Resources Management, the incumbent of this position will coordinate the administrative operations of the office in an efficient, effective, and confidential manner. Duties of this position include, but are not limited to, the following:
• Provide support to the Director of Human Resources including answering phones, managing the workflow of documents requiring the Director’s signature or approval, draft, proofread and edit correspondence, and maintain the Director’s calendar; including scheduling meetings, preparing agendas and identifying conflicts;
• Supervise administrative support staff and provide oversight and assistance with OHRM front desk activities including answering the OHRM phoneline; opening, tracking, scanning, and distributing mail; filing, faxing, and creating a secure yet welcoming environment;
• Manage the confidential mailbox for the OHRM and route incoming correspondence, as appropriate;
• Manage the OHRM e-mail box, respond to routine correspondence, or route e-mail for appropriate action using independent judgment while referring critical issues to the OHRM leadership team;
• Oversee the maintenance of office equipment, maintain office supplies, follow established policies and guidelines, and update procedures as necessary;
• Organize and maintain OHRM’s paper and electronic filing systems;
• Serve as office liaison to NYSED’s Office of Information Technology Services, Office of Facilities and Business Services, Office of Fiscal Management, Security Services and other entities within the Department;
• Support and contribute to continuous improvement efforts and provide technical assistance and customer service to Department employees and stakeholders;
• Use various Microsoft applications including Word, Outlook, Access, Excel, and PowerPoint; and
• Perform other duties as assigned.

Additional Comments CONDITIONS OF EMPLOYMENT:
This will be a permanent appointment. This position is in the non-competitive class and has been designated with a “phi-tag” as confidential. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. Rigorous verification of education and/or experience will be required at the time of interview for all candidates. This position allows for the opportunity to telecommute up to 30% each bi-weekly pay period and is granted at the discretion of the supervisor and the appointing office. Filling of this position is contingent upon Division of the Budget approval.

* This position leads to a maximum salary of $72,519 based on annual performance advances.
