Duties Description The Administrative Assistant 2 (Admin Asst 2) will provide general administrative and programmatic support to the Division of Family Health, Grants Management and Operations Unit Manager. The incumbent will: be responsible for the day-to-day administrative functions of the Grants Management and Operations Unit; manage and maintain the Unit’s database and tracking systems related to active procurements and processes; ensure timely and accurate updates to tracking systems utilized by the Bureau and Division administration including but not limited to updating statuses related to required Division of Budget and Commissioner’s office approvals; assist unit staff with organization and record keeping related to grants, contracts and vendor compliance; coordinate in-person and virtual meetings including communicating with meeting attendees and assisting in meeting set up; monitor the unit’s shared email address for contract related communications; provide quality assurance reviews to ensure accuracy of information including the work done by others for proper formatting, spelling, grammar, and recommend revisions; and ensure contract packages and documentation are routed to appropriate approval channels. The Admin Asst 2 will supervise other clerical and support staff and perform other duties as assigned.

Minimum Qualifications Current New York State Department of Health employee with permanent or contingent-permanent status as an Administrative Assistant 2, Grade 15. OR: Current New York State employee with one year or more of permanent, contingent-permanent in a position allocated to a Grade 13 and eligible for transfer under Section 70.1 of the Civil Service Law.

Preferred Qualifications: Excellent organizational, interpersonal and written communication skills; ability to multi-task; proficiency in Microsoft Office applications including Excel, Word and Teams , especially experience developing and maintaining tracking systems. Experience using Statewide Financial System or other grants management system.

Candidates appointed on a provisional basis will be required to take the next holding of the Administrative Assistant 2, Grade 15, Civil Service examination when it is held, and be eligible for immediate appointment off of the resulting eligible list in order to maintain employment.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
