Duties Description The Administrative Assistant 2 in the Office of Government and Community Relations (OGCR) provides support for key personnel including the VP for Government and Community Relations, the Director of Government Relations, the Director of Community Relations, and the Director of Public Engagement. This position also supports the Chief Campus Counsel in the Office of the General Counsel.
In this capacity, this position provides administrative support in scheduling meetings and maintaining the VP’s calendar, gathering information for documents and meeting preparation, updating and maintaining the office’s contact and email distribution lists, reserving meeting space, booking travel and processing travel card reconciliation and reimbursement forms.
Additionally, the Administrative Assistant 2 performs an array of office management duties including answering and fielding phone calls, sorting and distributing incoming mail, serving as a liaison for ITS and copier services, ordering and maintaining office supplies, processing payment of bills for both departments, monitoring the office’s Government Relations email account, preparing/entering legal files, supervising work study students, and providing light technical support for the offices.
Minimum Qualifications MINIMUM REQUIREMENTS:
High school diploma, or high school equivalency diploma, and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
**Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
OPERATING NEEDS:
Experience with Microsoft Office Suite (PowerPoint, Word, Excel, Access, and Outlook) preferred.
Experience in scheduling Outlook meetings / appointments, managing several Outlook calendars, and making travel arrangements.
