Duties Description The Office Assistant 2 position will work in the Bureau of Administration (BOA), within the Division of Family Health (DFH), that oversees the administrative and fiscal processes for all contracts and payments that go through the NYS Department of Health and Health Research, Inc. This position will work closely with contract managers by completing the data entry of vouchers into the Statewide Financial System (SFS). Duties include, but are not limited to, reviewing voucher-related documentation and correspondence as provided by contract managers, identifying missing information, completing the required data entry into SFS with a high level of accuracy, communicating the need for approvals to respective agency approvers, tracking progress of voucher from entry through to payment, and upon payment archiving related documentation in an online file system.
Minimum Qualifications NY HELPS: One year of clerical experience.
Transfer Opportunity: Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Office Assistant 2 G-9, OR a NYS employee with one year or more of permanent or contingent- permanent, competitive service in a position allocated to a salary Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Preferred Qualifications: Experience working with numbers, ideally as part of a finance team. Experience using the New York Statewide Financial System (SFS). Proficiency in the use of Microsoft Suite tools including Excel, Word, and Teams. Experience working in a high volume fast paced work environment. Excellent organizational, written, and verbal communication skills.
Additional Comments Full-time, contingent permanent, compettive appointment. Transfer Candidates may be asked for their social security number to verify eligibility.
This position is part of the NYS HELPS program. No examination is required.
