Duties Description The incumbent will be responsible for providing the principal administrative support to the Associate Commissioner, the Deputy Director, and the Medical Director for the Division of Forensic Services, and other key managerial staff. Under the general supervision of the Associate Commissioner of the Division of Forensic Services, Administrative Assistant 2 will function independently and coordinate and carry out the day-to-day administrative support activities required to accomplish the work of the Division.

Specific duties to be performed may include, but are not limited to, the following:

- Provide comprehensive administrative and executive support to the Associate Commissioner, Deputy Director, and Medical Director; anticipate the administrative and operational needs and take proactive steps to address them.
- Establish office procedures, implement policies, maintain efficient workflow of the Division, and resolve daily operational problems.
- Respond to phone calls, sort mail, and coordinate/ensure timely responses to letters received from the Governor’s office, the Justice Center, and other advocacy groups.
- Manage and coordinate calendars, appointments, meetings, conferences, and organizational commitments.
- Schedule and coordinate internal and external meetings, ensuring appropriate participants, locations, materials, and technology are available.
- Coordinate travel arrangements, including transportation, lodging, and itineraries; prepare and process travel authorizations, reimbursements, and other required travel documents.
- Oversee the Division’s fleet of state cars, ensuring all maintenance is completed as needed.
- Work directly with work control, safety, and building management to report, track, and resolve office and building-related issues.
- Coordinate office needs such as furniture, repairs, supplies, and maintenance requests; monitor the status of orders and follow-up with appropriate personnel to ensure timely resolution.
- Order and maintain office supplies and coordinate procurement of routine administrative materials
- Act as the liaison among key executives, staff, other employees, and the public.
- Prepare a variety of reports, documents, spreadsheets and correspondence using Word and Excel software, and enter sensitive data in the Bureau’s data systems.
- Interact in person and by telephone, and handle and/or refer inquiries concerning work activities/projects.
- Maintain the Division’s organizational chart, phone listing, and distribution lists
- Assist with onboarding new employees and offboarding employees, as needed.
- Represent the Division of Forensic Services professionally and maintain positive working relationships across the agency.
- Fulfill other administrative duties, as assigned.

Minimum Qualifications Candidates must be currently reachable on the appropriate eligible list for this title.

Transfer:
Candidates must have permanent status as an Administrative Assistant 2 and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent service in a qualifying title within two salary grades of this position.
