For appointment to an Office Assistant 2 Stores/Mail, you must have:

• One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and/or stores keeping.

Competitive Minimum Qualifications:
You must be currently reachable on the appropriate eligible list for this title or eligible to transfer to this title under Section 70.1 of the Civil Service Law.
Transfer:
For 70.1 transfer to a(n) Office Assistant 2 Stores/Mail, salary grade (SG)-09, you must have one year of permanent competitive, or 55-b/55-c service in an approved title for transfer allocated to an SG-07 or above.

Appointments via transfer must not result in a second, consecutive transfer with an advancement of more than two S-grades or one M-grade.

Duties Description Transportation of Materials and Vehicle Maintenance
• Responsible for safely and proficiently operating agency vehicles between worksites to transport material.
o A light-duty box truck, not exceeding 26,000 lbs.
o Gross Vehicle Weight Rating (GVWR) is typical, but may also require operation of a courier vehicle such as a light/ medium duty SUV.
o A CDL license is not a required, however, a valid NYS Class D driver’s license is.
o Assigned runs are between headquarters at 110 State Street (Albany) and one of the satellite locations of Jordan Road (Troy) or 150 Broadway, Menands.
o Typical loads consist of mail or file bins, furniture, USPS postal containers, locked rolling cases, and palletized supplies.
o Of less frequency, there are also occasional transportation assignments throughout the year involving the delivery of material to, or retrieval from, other regional locations throughout NYS, conference facilities, or surplus/recycling centers.
• Fleet Coordinator assistant which includes, but not limited to general vehicle maintenance, schedule inspections, recalls, vehicle cleanings, registrations, and renewals, accepting new vehicles and ensuring proper rotation of vehicles. Procure and distribute vehicle supplies such as fluids, seasonal supplies, and safety equipment. Provide input regarding purchasing, registering, and verifying new vehicles and coordinate reallotment of older vehicles.

General Maintenance
• Responsible for general worksite maintenance including, but not limited to furniture assembly, furniture repairs, cubicle reconfigurations, accepting and verifying furniture deliveries. On-site contact for building management. Coordinate work to be completed, ensure work is completed and provide assistance where needed.
• Coordinate with staff and building to ensure trucks/vehicle/entrances are clear of snow/ice and grounds are safe for vehicle parking.
• Assist with moving jobs which include clean out of OSC lease locations, disposal of furniture, trash, and appliances. Coordinate/complete shipments of metal to the port in Albany.
• Maintaining and purchasing of tools and equipment such as drills, ladders, pallet jacks etc.

Receives and Stores Stock Supplies, Selects, Packages, and Distributes Materials
• Receive warehouse deliveries.
• Distribute materials, publications, and other promotional items upon request.
• Retrieve and deliver product for tenant agencies at offsite locations.
• Maintain accountability of warehouse items using inventory system.
• Perform support and clerical work such as Bill of Lading and document preparation, scheduling, tracking, and other related activities.
• Proficiently utilize Microsoft Office Suite and various program specific applications.
• Maintain accurate records and perform routine preventative maintenance.
• Operate material handling equipment.
• Perform other duties as assigned

Process Records Requests, Filing/Shelving
• Process new requests daily and within 24 hours of receipt. Ensure priority requests are processed immediately and coordinate transportation to various OSC offices, as necessary. Update request spreadsheets within database. Order, retrieve and transport miscellaneous documents and boxes from the State Records Center. Assist and notify customers regarding their requests.
